Finding the perfect venue is one of the biggest steps in making you and your partner’s dreams a reality. As a Rugby-based wedding photographer, I have captured weddings in a wide variety of locations across Warwickshire, Leicestershire and beyond, and I know how important the right venue is in setting the tone for your celebration and creating stunning photographs to treasure forever.

Your venue will influence almost every aspect of your day, from the atmosphere and guest experience to the style of your photographs. Here are some considerations to have before you choose your dream wedding venue.

It may not be the most romantic part of planning, but setting a budget early on is vital. You don’t need an itemised breakdown too early on, but having a rough idea of what you are comfortable spending will save you both time and disappointment later. It could also help to look up what the average of each aspect could cost you for where you live too.

Think carefully about your guest numbers, as many venues price their packages per head. By working out how much you would like to spend per guest, you can estimate your overall venue and catering costs more accurately. This will also help you rule out venues that are too small for your party size or too expensive for your budget before you set your heart on them.

 

Catering Considerations

Food is a highlight of any wedding, so it is worth exploring your catering options carefully. Some venues provide in-house catering, while others have a list of preferred suppliers that you can hire. Both can be excellent options, but it is important to check whether their menus suit your tastes and needs, especially if you know your guests will need vegetarian or other dietary requirement options.

If you prefer to bring in your own caterer, make sure this is allowed by the venue. Tastings are one of the most enjoyable parts of wedding planning, so take your time to savour the experience. Don’t only think about the meal itself but also about extras such as evening snacks or late-night food for your guests to help soak up alcohol and keep the party going!

While the logistics may not feel as exciting as choosing flowers or dresses, they are essential for ensuring your day runs smoothly. If you have international guests or family travelling long distances, you may want to additionally think about how close your venue(s) is to airports, major roads or hotels.

Accommodation is another key detail. Many venues have on-site rooms for guests, but these may be limited in number. If your venue cannot accommodate everyone, look for nearby hotels or B&Bs and consider arranging transport, like a minibus, to help guests travel safely. Parking is also worth confirming in advance, particularly if you are planning a large wedding.

When you find a venue that looks perfect, it is tempting to book it on the spot. However, it is important to ask plenty of questions before making the commitment. Create a checklist of your must-haves and deal-breakers so that you can stay objective during viewings.

Here are some useful questions to ask:

  • What is the venue’s capacity for both the ceremony and reception?

  • How late is the venue licensed for live music and entertainment?

  • Can you bring in outside caterers or suppliers if you wish?

  • What does the standard set-up look like, and how flexible is the layout?

  • Who will be your point of contact on the day itself?

  • What are the bar opening and closing times?

  • Are there restrictions on decorations, fireworks or confetti?

Do not be afraid to ask for clarity or additional information. This is your day, and a good venue will want to support you in every way possible.

The architecture, lighting, gardens and surrounding landscapes can all provide backdrops for your photographs. A rustic barn will create a very different feel to a luxury hotel or a stately home.

Are you drawn to historic details or modern simplicity? By selecting a venue that aligns with your vision, your photographs will feel authentic and timeless.
